Add staff and choose their roles
Who can do what, and how to give one person more than one job.
Updated 26 September 2026
Invite each person by phone number or email. They set up their own sign-in and a six-digit PIN.
Roles
| Role | What they can do |
|---|---|
| Owner | Everything at the properties they own, including reports, staff and the bank account payments settle to |
| Manager | All day-to-day work, and approves voids, discounts over the limit, check-outs with a balance and refunds |
| Receptionist | Bookings, check-in and check-out, guest bills, payments and their own shift’s cash |
| Waiter or bar | Table orders, sending to the kitchen, and settling bills to cash, card or a room |
| Kitchen | The ticket screen only. No prices and nothing else |
| Housekeeping | Room cleaning tasks only |
One person, several roles
Roles are permissions, not people. At a small property one person can be both receptionist and bar. Give them both roles.
Keep in mind that controls work because different people do different jobs. If one person takes the booking, the money and the order, no software can catch a mistake or a theft. Where you can, split the jobs.
When someone leaves
Remove them from Staff. Their sessions end at once on every device.
